We have been retained by a large-scale, single-family office in Menlo Park, CA - looking to find an experienced Office Manager.

Our client hopes to find an experienced admin to join their high-net worth, single-family office. This role will join a team of top tier talent and give you the opportunity to grow your career in the private sector.

Primary Purpose and Function:

We are seeking an Office Manager to function as the first point of contact for a single-family office. This role will be responsible for the operational excellence of the firm and will effectively manage all facets of the home office. The ideal candidate will utilize their administrative or managerial background to ensure a positive and easeful environment for upper management and the entire office staff.

Essential Functions and Responsibilities: 

  • Oversee all ongoing projects and communicate details to the Chief of Staff and Director of Operations in a detailed and timely manner

  • Coordinate office operations and ensure all components are operating efficiently

  • Order and organize all office inventory; guarantee on-time arrival of all necessary supplies

  • Maintain office calendars and schedules of leadership and relevant staff 

  • Initiate and maintain positive relationships with vendors, service providers, and the building landlord; ensure all items from respective vendors are invoiced and paid within the correct financial period

  • Manage all electronic equipment for the office and staff; licensing and distribution of software applications, product tracking systems, purchasing, repairs, and IT relations

  • Assist with the development, standardization, and implementation of business processes and functions across the company  

  • Responsible for continuous position coverage, including short-term or extended absences 
     

Minimum Qualifications:

  • Experience in an administrative or managerial role

  • Skilled in Apple systems and Google Workspace

  • Comfortable with IT equipment and technical troubleshooting

  • Highly organized and communicative

  • Ability to adapt and work in a rapidly changing environment
