The firm is currently seeking an enthusiastic, Front Office Administrator for their Los Altos office. This position will support the firm by overseeing all administrative tasks for the office and the firm purchaser. The ideal candidate will work well within a larger team structure but is also highly capable when working independently.

Key Responsibilities:

  • Represent the firm as the front of house administrator for all employees and guests

  • Provide an exceptional welcome experience for everyone upon arrival

  • Answer all incoming calls and route them to the appropriate parties

  • Receive, screen, and route mail & deliveries, process shipping for all outgoing packages

  • Coordinate with vendors to maintain proper inventory of food, office equipment, and supplies

  • Oversee the conference room reservation system and ensure all rooms are kept clean, with proper technical functions

  • Assist in facilities management; communicate with maintenance & building management, submit work tickets, and coordinate with various service providers

  • Support cross-departmental communication through timely, detailed correspondence

  • Collaborate with executive support staff to identify areas of improvement and develop strategy for effective implementation

  • Serve as an information resource and communication channel for policies and procedures

  • Demonstrate an upbeat and engaging attitude when performing all duties required of the role


  • High School diploma

  • Proficient in Microsoft 365, Adobe, & Ecommerce platforms

  • Strong verbal and written communication

  • Highly organized and efficient

  • Ability to maintain strict client confidentiality

  • In-person role & proof of vaccination required
