Lead Executive Assistant (Manager)

Key Responsibilities:

  • Manage and collaborate with the EA team in day-to-day activities including schedule, front desk coverage, office supply inventory, etc.

  • Mentor EA team to assist in their longer-term professional development

  • Manage calendars and schedule internal/ external meeting for multiple individuals

  • Assist with travel arrangements for multiple individuals; prepare and track expense reports

  • Maintain relationship with travel vendor and be the primary point of contact for travel

  • Coordinate facility needs with the property manager, building security and other vendors supporting office equipment, etc.

  • Maintain and update specific management reports

  • Maintain efficient filing and organization of correspondence, reports, client and meeting materials

  • Transcribe/process meeting notes, upload documents to appropriate repositories

  • Draft letter and email communications, update basic Word and PowerPoint documents

  • Collaborate across teams to collect and maintain firm-wide data

 

Qualifications:

  • 4+ years administrative and management experience

  • Tech savviness is a must

  • An eye for detail and proactiveness

  • Highly communicative and personable

  • Great business and leadership acumen

  • Ability to motivate teams and achieve key deliverables

  • Proof of vaccination required
