Executive Personal Assistant - Family Office

The Executive Personal Assistant will be the key point of contact for the Principal’s personal and professional matters, while managing administrative functions seamlessly. An elevated level of care and attention to detail is needed when it comes to travel planning, calendaring, and meeting arrangements. You will need to make sure information flows in a timely and accurate manner to all parties involved in these matters to ensure a seamless experience for the Principal. The use of independent judgement and initiative will be key when it comes to issuing or receiving communications via memos, emails, presentations, or reports. Discretion and confidentiality must be maintained at all times.

 

Responsibilities

  • Travel

    • White-Glove service for Commercial & Private aircraft bookings

    • Accommodation & Transportation arrangements

    • Planning activities at the travel destination

    • Coordinate with other team members to ensure safety and security of Principal

    • 24/7 availability to help resolve any issues or accommodate requests when traveling

  • Meeting Arrangements

    • Set up and send invites for meetings

    • Take meeting minutes when requested by Principal

    • Troubleshoot and resolve issues with Zoom or Google Meet

  • Administrative

    • Heavy Calendar Management

    • Expense Reporting

    • Office Management (supplies, filing, and equipment)

    • Office is located on Principal’s estate, not in the main house

 

Requirements

  • Mac/MacBook Pro proficiency

  • Zoom & Google Meet proficiency

  • Advanced knowledge of Microsoft Office applications

  • Ability to operate standard office equipment (copier, phone, printer, etc)

  • Apple/Android apps and common issues knowledge

  • Strong organizational and time management skills

Education and Work Experience

  • Bachelor’s Degree preferred

  • 5+ years previous experience as an Executive or Personal Assistant
