Our private equity client in Menlo Park is searching for an Executive Office Supervisor to join their expanding team. You will be leading a team of two Executive Assistants that help oversee the logistics and planning for their business operations. The ideal candidate will take charge of optimizing processes and fostering strong relationships with external partners, all while maintaining the highest levels of discretion and confidentiality.

 

Responsibilities:

  • Oversee and manage a team of two that is responsible for coordinating the logistics and safety aspects for business operations.

  • Develop and implement strategies to optimize operational processes and improve overall efficiency.

  • Establish and maintain strong relationships with external vendors, partners, and service providers.

  • Ensure the utmost discretion, confidentiality, and security when handling sensitive information.

  • Assist in preparing reports.

  • Monitor team performance and provide regular feedback, coaching, and support to foster professional development.

  • Create and maintain detailed agendas for travel as well as events to ensure relevant parties are aware of plans and only have access to the information according to security protocols. The booking and planning of travel is made with a separate team, once a plan has been established, your role will be to coordinate the logistics for the executive protection team.

  • Manage budgets, invoices, and expenses related to logistics and safety operations.

  • Collaborate closely with other departments to ensure a cohesive approach to business matters.

 

Requirements:

  • 5+ years of experience in administrative management, logistics, or a related field.

  • Proven track record of successfully leading and managing a team.

  • Exceptional interpersonal and communication skills, both written and verbal.

  • Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.

  • Discreet, professional, and trustworthy, with a strong commitment to maintaining confidentiality.

  • Bachelor's degree in Business Administration or a related field preferred.
