Position Overview

The Executive Assistant will report directly to the Managing Partner and play a crucial role in facilitating smooth and effective day-to-day operations. The ideal candidate is detail-oriented, anticipates needs proactively, and thrives in a fast-paced environment. You will be interacting with both internal and external stakeholders, so the ability to protect highly confidential information will be paramount as you work with minimal supervision or direction. 

 

Responsibilities

  • Executive Support:

    • Manage the Managing Partner’s calendar, including scheduling and confirming appointments, and resolving scheduling conflicts.

    • Co-pilot email responses to manage the Managing Partner's inbox, ensuring timely and appropriate communication with stakeholders, including portfolio companies, investors, and internal team members.

    • Update CRM records with deal information, maintaining accuracy and timeliness of all deal-related data.

    • Prepare briefing materials for meetings and events to ensure the Managing Partner is well-prepared and informed.

    • Coordinate travel arrangements, including flights, accommodations, and transportation.

  • Operational Efficiency:

    • Facilitate internal communication for the Managing Partner.

    • Streamline administrative procedures and operational tasks.

    • Organize and maintain digital and paper files.

  • Facilities and Office Management:

    • Serve as the point of contact for facilities-related inquiries and issues.

    • Manage relationships with vendors, service providers, and the building’s management.

    • Order office supplies and manage inventory.

    • Ensure a comfortable, organized, and efficient office environment, including workspace arrangement and meeting room setups.

    • Coordinate IT support and resolve basic technical issues in coordination with IT specialists.

  • Investor Relations:

    • Assist in preparing investor updates and presentations.

    • Schedule and coordinate investor meetings.

    • Support due diligence processes.

  • Special Projects:

    • Conduct market research to identify investment opportunities.

    • Compile operational data for internal analysis.

    • Work on strategic initiatives and ad-hoc projects as directed by the Managing Partner.

 

Qualifications

  • Bachelor’s degree or equivalent work experience.

  • A minimum of 5 years of experience as an Executive Assistant, preferably in venture capital, private equity, or startup environments.

  • Exceptional organizational skills and attention to detail.

  • Strong interpersonal and communication skills, both written and verbal.

  • Proficient in Microsoft Office Suite and Google Workspace.

  • Ability to work independently and as part of a team.

  • Discretion and confidentiality are essential.
