Administrative Assistant - Wealth Management

The Administrative Assistant will play a vital role in supporting our Wealth Management client by offering high-quality administrative and client services. The ideal candidate will have a track record of exceptional organizational skills, the ability to handle sensitive information with discretion, and a dedication to enhancing client relationships through effective communication.

Key Responsibilities: 

  • Provide comprehensive administrative support to the Wealth Management team, including calendar management, scheduling appointments, and organizing meetings. 

  • Utilize Microsoft 365 Suite to create and manage documents, presentations, and reports critical for client meetings and internal communications. 

  • Answer, screen, and direct incoming calls and inquiries with professionalism and courtesy. 

  • Provide exemplary client service, focusing on detail and timely responses to ensure client satisfaction. 

  • Facilitate internal and external communications, acting as a liaison between clients, team members, and other stakeholders. 

  • Assist in the preparation of client portfolios, reports, and presentations. 

  • Maintain electronic and paper files, ensuring information is organized and easily accessible. 

  • Handle confidential client information and communications with utmost discretion and integrity. 

  • Support the team in ad-hoc projects and tasks as required. 

Qualifications: 

  • Minimum of 4+ years of administrative experience, preferably within the financial services, venture capital, private equity, or wealth management sector. 

  • Proficiency in Microsoft 365 Suite (Word, Excel, Outlook, and PowerPoint) is essential. 

  • Exceptional communication and interpersonal skills. 

  • High level of organizational skills with an ability to prioritize and multitask. 

  • Strong attention to detail and accuracy. 

  • Adept at handling sensitive and confidential information with discretion. 

  • A commitment to delivering an exceptional client service experience. 

  • A proactive and positive attitude with the ability to work both independently and as part of a team. 

  • Bachelor’s Degree
