Our client, a prominent investment firm in Palo Alto with a significant portfolio, is seeking an exceptional Executive Assistant to support a Partner. The ideal candidate will have a proven track record of providing high-level administrative support in a fast-paced, dynamic environment.
Responsibilities:
Manage the Partner's complex calendar, including scheduling meetings, conferences, and travel arrangements
Serve as the primary point of contact for the Partner, prioritizing and handling inquiries from key stakeholders and internal team members
Prepare and organize materials for meetings, presentations, and due diligence processes
Conduct research on potential investment opportunities, industry trends, and market developments
Assist with the preparation of financial reports, investor updates, and other critical documents
Coordinate with other departments to streamline processes and ensure seamless operations
Handle confidential information with the utmost discretion and maintain a high level of professionalism at all times
Anticipate the Managing Director's needs and proactively address potential issues or concerns
Requirements:
Bachelor's degree
Minimum of 5 years of experience supporting senior executives ideally, preferably within the investment industry
Exceptional organizational skills and meticulous attention to detail
Strong verbal and written communication abilities, with a proficiency in crafting professional correspondence
Proven ability to manage multiple tasks simultaneously and adapt to rapidly changing priorities
Tech-savvy, with advanced knowledge of Microsoft Office Suite, G Suite, and other relevant software
Uncompromising integrity and the ability to handle highly sensitive information with discretion
Willingness to work extended hours when necessary to meet deadlines or support the Partner's needs
