Our client, a prominent investment firm in Palo Alto with a significant portfolio, is seeking an exceptional Executive Assistant to support a Partner. The ideal candidate will have a proven track record of providing high-level administrative support in a fast-paced, dynamic environment.

 

Responsibilities:

  • Manage the Partner's complex calendar, including scheduling meetings, conferences, and travel arrangements

  • Serve as the primary point of contact for the Partner, prioritizing and handling inquiries from key stakeholders and internal team members

  • Prepare and organize materials for meetings, presentations, and due diligence processes

  • Conduct research on potential investment opportunities, industry trends, and market developments

  • Assist with the preparation of financial reports, investor updates, and other critical documents

  • Coordinate with other departments to streamline processes and ensure seamless operations

  • Handle confidential information with the utmost discretion and maintain a high level of professionalism at all times

  • Anticipate the Managing Director's needs and proactively address potential issues or concerns

 

Requirements:

  • Bachelor's degree

  • Minimum of 5 years of experience supporting senior executives ideally, preferably within the investment industry

  • Exceptional organizational skills and meticulous attention to detail

  • Strong verbal and written communication abilities, with a proficiency in crafting professional correspondence

  • Proven ability to manage multiple tasks simultaneously and adapt to rapidly changing priorities

  • Tech-savvy, with advanced knowledge of Microsoft Office Suite, G Suite, and other relevant software

  • Uncompromising integrity and the ability to handle highly sensitive information with discretion

  • Willingness to work extended hours when necessary to meet deadlines or support the Partner's needs

  • Positive, solution-oriented mindset and a proactive approach to problem-solving
