We are seeking a highly skilled and dedicated Executive Personal Assistant to provide comprehensive support to a C-level executive based in Scottsdale, Arizona. As the executive's trusted partner, you will be instrumental in optimizing their productivity and ensuring seamless operations.

Key Responsibilities:

  • Proactively manage and optimize the executive's calendar, meticulously coordinating meetings, appointments, and events for both personal and professional obligations.

  • Oversee all aspects of travel logistics, including flight bookings, hotel reservations, ground transportation, and dining arrangements.

  • Prepare detailed meeting notes, craft agendas, and ensure timely completion of follow-up tasks.

  • Anticipate and proactively address the executive's needs, demonstrating exceptional problem-solving skills.

  • Maintain a high level of availability, ready to assist the executive outside of regular business hours when necessary.

  • Manage extensive travel requirements, ensuring seamless and well-organized itineraries.

  • Uphold the highest standards of professionalism, representing the executive and the organization with integrity and discretion.

  • Foster effective collaboration with cross-functional teams to ensure alignment and operational efficiency.

  • Provide regular updates on tasks and projects to the Family Office CEO.


  • Proven track record of success supporting C-suite executives in a fast-paced environment.

  • Exceptional organizational and time management abilities, with a talent for prioritizing and multitasking.

  • Outstanding written and verbal communication skills, with a keen eye for detail.

  • Strong problem-solving aptitude, coupled with a proactive and resourceful approach.

  • Ability to handle confidential and sensitive information with the utmost discretion.

  • Adaptability and flexibility to accommodate the evolving needs of the executive and the organization.

  • Expertise in calendar management and travel coordination.

  • Bachelor's degree strongly preferred.
