As the Family Assistant you will be meticulously managing the family calendar and proactively communicating across all stakeholders. Key Responsibilities and Value Creation

  • Serve as the central point of contact for all family calendar coordination, managing complex, frequently changing schedules with utmost precision and discretion

  • Proactively manage scheduling conflicts and dynamically reprioritize calendar items based on evolving family needs and last-minute changes

  • Monitor and distill key information from school communications to highlight critical dates, events, and action items and integrate seamlessly into the family calendar

  • Collaborate cross-functionally with the executive assistant, household staff, and external partners to ensure all calendar dependencies are identified and planned for

  • Identify opportunities to streamline calendar management processes and implement best practices to drive continuous improvement

  • Provide periodic high-level calendar reviews to the family, highlighting upcoming priorities and flagging any potential issues

Qualifications and Expertise

  • Bachelor's degree required, with 5+ years experience in a fast-paced, high-stakes calendar or logistics coordination role, ideally supporting UHNW families or busy C-suite executives

  • Highly proficient in productivity tools like Google Calendar and Microsoft Office with the ability to quickly learn new calendar management and scheduling software

  • Expert-level written and verbal communication skills with strong attention to detail and ability to synthesize information and communicate key points succinctly

  • Proven track record of successfully managing complex, ever-changing calendars with keen judgment and discretion

  • Forward-thinking, proactive problem solver who anticipates scheduling issues before they arise and dynamically crafts intelligent solutions
